At SeamlessTravel, we understand that travel plans can sometimes change. This Refund & Cancellation Policy explains how cancellations, amendments, refunds, and related charges are handled for travel services booked through us.
Because SeamlessTravel works with airlines, hotels, cruise companies, tour operators, car rental companies, and other third-party travel suppliers, refund and cancellation conditions may vary depending on the service booked.
1. General Refund Policy
All refunds are subject to the terms and conditions of the relevant travel supplier and the fare, rate, package, or booking conditions applicable to your reservation.
Before making a booking, customers should carefully review the applicable cancellation and refund conditions.
Some bookings may be:
- Fully refundable
- Partially refundable
- Non-refundable
- Refundable subject to cancellation fees
- Refundable only within a specified period
- Subject to supplier-specific refund conditions
The applicable conditions will be communicated to you as part of your quotation, booking confirmation, or travel documentation where applicable.
2. Customer Cancellations
If you wish to cancel a booking, please contact SeamlessTravel as soon as possible.
Cancellation requests should be made in writing by email where possible.
Once we receive your cancellation request, we will advise you of the applicable cancellation conditions and any estimated refund.
Cancellation charges may include:
- Airline cancellation fees
- Hotel cancellation fees
- Cruise cancellation fees
- Tour operator cancellation fees
- Supplier penalties
- Non-refundable deposits

The amount refunded will depend on the applicable supplier terms and the amount recoverable from the supplier.
3. Non-Refundable Bookings
Certain travel products, promotional fares, special offers, discounted rates, deposits, and package components may be non-refundable.
Where a booking is identified as non-refundable, cancellation may result in the loss of some or all amounts paid.
Customers should carefully review the booking conditions before making payment.
4. Refund Processing
Where a refund is approved, SeamlessTravel will process or facilitate the refund in accordance with the applicable supplier and payment-provider procedures.
Refunds may take time to process because they may need to be authorised and paid by the relevant airline, hotel, cruise company, tour operator, or other supplier.
The time required for a refund may therefore vary.
SeamlessTravel cannot guarantee a specific refund processing timeframe where the refund is dependent on a third-party supplier or payment provider.
5. Service and Administration Fees
Where applicable, SeamlessTravel may charge an administration or service fee for processing cancellations, amendments, refunds, or other booking changes.
Any applicable fee will be communicated to the customer where reasonably possible before the cancellation or amendment is processed.
Supplier charges and SeamlessTravel service fees may be deducted from the amount available for refund where applicable.
6. Airline Tickets
Airline tickets are subject to the fare rules and conditions of the relevant airline.
Depending on the fare purchased, a ticket may be refundable, partially refundable, or completely non-refundable.
Airline cancellation fees, fare restrictions, taxes, unused ticket conditions, and other airline rules may affect the final refund amount.
Where an airline cancels or significantly changes a flight, any refund or alternative arrangement will generally be handled according to the airline's applicable policies and conditions.
7. Hotel and Accommodation Bookings
Accommodation bookings are subject to the cancellation policy of the applicable hotel or accommodation provider.
Some rates may allow cancellation without a fee up to a specified date, while other rates may be partially refundable or non-refundable.
Failure to arrive at the accommodation without cancelling the booking may be treated as a "no-show" and may result in the loss of some or all amounts paid.
8. Cruises
Cruise bookings are subject to the cancellation and refund terms of the relevant cruise operator.
Cruise deposits may be non-refundable, and cancellation charges may increase as the departure date approaches.
Customers should review the specific cruise booking conditions before making payment.
9. Tours, Activities and Packages
Tours, excursions, activities, transfers, and holiday packages may have their own cancellation and refund conditions.
Some services may become non-refundable shortly before the scheduled date of travel.
If a package contains multiple travel components, each component may be subject to different cancellation conditions.
10. No-Show Bookings
If a traveler does not use a booked service and does not provide appropriate notice of cancellation, the booking may be classified as a no-show.

11. Changes to Bookings
A request to change a booking is not necessarily treated as a cancellation.
Changes may be subject to:

Any additional costs must generally be paid before the amended booking can be confirmed.
12. Supplier Cancellations
If a travel supplier cancels a service, SeamlessTravel will communicate the available options to the customer where we receive the relevant information.
Depending on the supplier's policy, options may include:
- A refund
- Rebooking
- A credit or voucher
- An alternative service
- A date change
The available options will depend on the supplier's terms and the circumstances of the cancellation.
13. Events Beyond Our Control
Travel services may be affected by circumstances outside the control of SeamlessTravel or the travel supplier.
These may include:
- Severe weather
- Natural disasters
- Government restrictions
- Political unrest
- Strikes
- Pandemics
- Border closures
- Security incidents
- Airline or supplier operational disruptions
- Other unforeseen circumstances
Refunds or alternative arrangements in these circumstances will be subject to the policies of the relevant supplier and any applicable law.
Customers are strongly encouraged to obtain appropriate travel insurance to protect against unforeseen cancellation or interruption costs.
14. Travel Insurance
SeamlessTravel strongly recommends purchasing comprehensive travel insurance before departure.
Travel insurance may provide cover for eligible cancellation, interruption, medical expenses, delays, baggage issues, and other unforeseen circumstances, depending on the policy.
A customer should contact their insurer directly when seeking reimbursement for losses covered by their travel insurance policy.
15. Refund Method
Where possible, refunds will generally be made using the original payment method.
Refunds may be subject to the processing procedures of the relevant payment provider.
We may request additional information or documentation where reasonably necessary to verify the refund request.
16. Incorrect or Duplicate Payments
If you believe that you have made a duplicate payment or that an incorrect amount has been charged, please contact SeamlessTravel as soon as possible.
We will investigate the matter and, where appropriate, arrange a correction or refund in accordance with applicable payment and booking conditions.
17. Disputes and Refund Requests
If you believe you are entitled to a refund that has not been processed, please contact us with your booking reference and relevant supporting documentation.
We will review the request and, where necessary, liaise with the applicable travel supplier.
Refund eligibility remains subject to the applicable booking conditions and South African law.
18. Consumer Rights
Nothing in this Refund & Cancellation Policy is intended to remove, restrict, or exclude any consumer rights that cannot legally be excluded or limited under applicable South African law.
Where applicable, statutory rights will take precedence over conflicting contractual provisions.
